Cancellation Policy
Last updated 19 September 2026
This policy sets out how to cancel a booking made through MilesBeyond Travels and what it is likely to cost. Actual charges depend on the airlines, hotels and operators in your specific booking, and the exact terms for your trip are stated in your booking confirmation.
How to cancel
Cancel in writing, by email to info@milesbeyond.in or by WhatsApp message to +91 97511 51441, quoting your booking reference. The cancellation takes effect from the time we receive your message, not from the time you decided. Cancellation charges rise as the travel date approaches, so tell us as soon as you know.
Typical notice periods and charges
The table below shows the pattern most of our bookings follow. It is a guide, not a contract. Non-refundable fares and advance-purchase hotel rates sit outside it entirely.
| More than 45 days before travel | Usually the smallest charge. Often only non-refundable deposits and any visa fees already paid. |
|---|---|
| 30 to 45 days before travel | Hotel deposits and a portion of the airline fare are commonly retained. |
| 15 to 29 days before travel | A substantial share of the total is usually non-recoverable, as most hotels are inside their free-cancellation window. |
| Less than 15 days before travel | Most bookings are non-refundable at this point. We still approach every supplier. |
| No-show or during the trip | No refund is available for unused services. |
Why the charges vary so much
A cancellation charge is not a penalty we set. It is the money the airline, hotel or operator keeps under the terms we booked on. A refundable hotel rate costs more up front precisely because it allows free cancellation; an advance-purchase rate is cheaper because it does not. When we build your itinerary we tell you which components are flexible and which are not, so you can choose deliberately.
Peak-season bookings
Bookings covering Christmas, New Year, Pongal, Diwali and long weekends carry stricter terms across the board. Many hotels require full non-refundable payment at the time of booking during these periods, and airline fares on popular routes are frequently non-changeable. We flag this clearly in your quotation before you pay.
Partial cancellation
If one or two travellers drop out of a group booking, the remaining travellers may face a change in per-person cost, because room occupancy and vehicle sizing change. We recalculate and show you the revised figure before making any amendment.
Medical emergencies and bereavement
We approach every supplier for a waiver or a credit in cases of serious illness, hospitalisation or a death in the family, and we do this without charging anything for our time. Suppliers are not obliged to agree, and many will not, but a number do when supporting documentation is provided promptly.
Travel insurance is the reliable route here, which is why we recommend it on every international booking.
Postponement instead of cancellation
Where your plans have shifted rather than ended, postponing is often cheaper than cancelling. Many hotels will move a booking to new dates for a smaller charge, and some airline fares allow a date change for a fee. Ask us to price both options before you decide.
Cancellation by us
We will only cancel your booking if you do not pay the balance by the agreed date, if a supplier withdraws a service and no acceptable alternative exists, or if circumstances make travel unsafe or unlawful. In the latter two cases, the full amount we are able to recover is refunded to you without any charge from us.
What happens next
Once we receive your cancellation we confirm it in writing, contact every supplier, and send you a written breakdown of what has been retained and what is being refunded. Refund timelines and payment methods are covered in our refund policy.
